Commercial Garage Door Software: The Complete Guide for Door Companies Serving Businesses and Property Managers

Most garage door companies start with houses. A broken spring on a Saturday, an opener that quit, a door that came off its track when a kid backed the car into it. Then one day a property manager calls about a townhome community, or a warehouse asks if you service dock doors, and the business changes shape. Commercial work pays well and it repeats, but it asks for a different kind of record keeping than a one-door house call.

This guide walks through how commercial accounts work in GarageDoorBossPro, from the first property list to the monthly statement. It is written for owners running one to a few service vans who want to add commercial work without adding a second office.

Why Commercial Work Is Different

Everything about commercial work is covered in more depth on the commercial garage door software page. The short version is that a commercial client brings three things a homeowner usually doesn't:

A notes field and a stack of separate invoices can handle a handful of houses. They fall apart the first time a manager asks which of their doors you worked on last spring.

One Client, Many Addresses

In GarageDoorBossPro, a commercial client is one client record with every address listed under it. A property management company, an HOA, a storage operator or a business with several locations each becomes one client. Each address keeps its own doors, its own access notes, its own job history and its own pin on the map.

That structure matters for every other part of the work. When a manager calls about “the building on Fifth Street,” the office opens the client and picks the address. When a job is done, it is attached to that address, so the history is there the next time. When it's time to bill, every address rolls up to the same client. The setup is covered in detail in One Client With Many Addresses: How Commercial Door Accounts Are Set Up.

Door Records for Every Building

Each address keeps a list of its doors and hardware. For commercial work, that list usually includes commercial rolling doors, commercial sectional doors, openers and gate openers, and it can include anything else you service. Each item can carry:

When a new job is created at that address, the “From House” picker fills the job in from the saved doors, so nobody retypes them. When the tech changes something on a job, like adding a door that was never recorded or correcting a serial number, the change flows back to the address. Over a few visits the record gets better instead of going stale.

The tech sees all of this on the job card. Instead of “dock door broken,” the card shows the door type, the size, the material and the bay, with the serial on the next line and a note like “Commercial Dock 4 — the one by the trash compactor.”

Maintenance Every 90 Days

Commercial clients often want doors looked at on a regular schedule, not just when something breaks. In GarageDoorBossPro, recurring work is set by minimum days between visits. A residential tune-up plan might be 365 days. A commercial door maintenance plan is often every 90 days, or whatever cycle you and the client agreed to.

When a visit comes due, it shows up on the Waiting List, a live map and list of every visit that is due plus new requests. Pins are colored by status: not due yet, due now, or overdue past a 7-day grace. The office can see at a glance that the storage facility and two warehouses on the east side are all due this week and put them on the same van on the same day. More on that in Commercial Door Maintenance Every 90 Days: Recurring Visits That Come Due on Their Own.

Emergency Calls, Access Notes and the Tech's Phone

Commercial doors fail at bad times. A dock door stuck open at closing time, a rolling door that won't open at a shop with cars waiting. When the call comes in, the office adds the job to the dispatch board and assigns it to a van. The tech sees it on the phone with the door record already attached, so they know what they are walking into before they get there.

Access is a bigger deal on commercial jobs. The tech may need to check in at a dock office, pick up a key from a front desk, find a particular shipping lead or arrive before a gate locks. Those notes are stored on the address and show on the job card every time. Crew GPS shows on the office map, so when an emergency comes in, the office can see which van is closest.

The tech app runs in the browser on iPhone and Android and installs to the home screen with no app store. Techs log in with the company login and a personal PIN, see their calls in route order, tap to navigate, and use Start, Skip and Complete through the day.

Inspection Reports and Photos for Facility Managers

The door safety inspection checklist on the tech app covers springs, cables & drums, rollers, hinges & brackets, tracks, door balance, the auto-reverse safety test, photo-eye sensors, opener force & limits, lubrication, the bottom seal & weatherstripping, the emergency release, and keypads & remotes. The tech records readings and issues found, picks a condition — Good, Needs attention or Repair recommended — and writes recommendations.

The office sees the completed checklist on the job and can print a Garage Door Safety Inspection report. For a facility manager who never saw the door, that report plus before-and-after photos from the tech's phone is the clearest way to show what was checked and what needs attention next.

Estimates for Replacements

Commercial doors wear out, take hits from forklifts and trucks, and eventually need replacing. Estimates in GarageDoorBossPro are built from your own service list, whatever you have set up, such as commercial door repair, panel or section replacement, opener install or after-hours emergency service. Door details can be filled in on the estimate and carry onto the job.

The manager approves the estimate online, and the approved estimate becomes the scheduled job. Follow-up emails go out on estimates that are still waiting, which matters when the person approving is busy with forty other things.

Monthly Statements by Address

Many commercial clients don't want an invoice every time a van shows up. In GarageDoorBossPro, a property manager, HOA or commercial account set to Monthly gets one statement each month covering every address. Each line is labeled with the address, so the manager's office can split costs across properties without calling you to ask which building a charge belongs to.

Other commercial clients prefer per-job invoices with a card on file. Both work. Invoices carry line items and sales tax, and the customer app lets clients see invoices, pay online and update their card.

Commercial and Residential on One Schedule

Very few door companies run a separate commercial crew. More often, one van handles repairs and emergency spring calls while another does installs, tune-ups and maintenance. GarageDoorBossPro keeps everything on one dispatch board: filter by van, auto-route Closest First or Furthest First from the shop, set route order by hand when you need to, save views and print route sheets. A warehouse maintenance visit can sit right between a residential opener install and a tune-up.

Getting Started With Commercial Accounts

If a manager sends you a spreadsheet of addresses, CSV import brings it in, and imported addresses are placed on the map automatically. From there the steps are short: put the addresses under one client, record the doors on the first visit, set the maintenance cycle and choose how the account is billed.
