Auto-Charge for Garage Door Companies: On Completion or On a Schedule
Charging a card should not depend on someone remembering to do it. Auto-charge takes billing off the to-do list entirely. When the card is on file and auto-charge is set up, invoices get paid without the office pressing a button for each one.
Two Ways to Auto-Charge
The tech-side version of this, where the tech taps Complete in the driveway, is covered in Charging at Completion: Getting Paid From the Garage Door Tech App Before the Van Leaves. Auto-charge is the office-side setting that makes charging happen on its own.
In GarageDoorBossPro, auto-charge can run in two ways:
- On completion. When the job is completed, the invoice is created and the card on file is charged automatically.
- On a schedule. Invoices are charged on a schedule you set, rather than at the moment of completion.
Both depend on a card being on file. Customers without a card still get the invoice, and they can pay online in the customer app.
When Auto-Charge on Completion Fits
Charging on completion fits most residential garage door work. A homeowner books a repair, the tech fixes the door, and the card is charged when the job closes. The customer was there, saw the door working and knows what was done. Charging right away matches what they expect.
It is also the simplest setup for a one-van owner. There is no billing day, no batch of invoices to run on Friday and no list to work through. Each job pays for itself as it finishes.
When a Schedule Fits Better
Some owners prefer a short gap between the work and the charge. They want the office to look over the day's invoices, make sure the lines are right and catch anything the tech forgot to mention, then let the charges run. Charging on a schedule gives that review window without going back to manual billing.
A schedule can also suit recurring work, where the customer already agreed to the plan and the charge is expected. It keeps billing predictable for the customer and for your cash flow.
Auto-Charge and Tune-Up Plans
Yearly tune-up plans are a natural fit for auto-charge. The customer signs up, often through your website sign-up form with the card captured, and the plan recurs every 365 days. Each year the visit comes due on the Waiting List, gets scheduled and routed, and the tech completes it. With auto-charge on completion, the tune-up is billed and paid the moment it is done. Nobody in the office has to remember who is on a plan.
The details of plan billing are covered in Billing Yearly Garage Door Tune-Up Plans: Charging the Visit When It Comes Due.
What About Monthly Accounts?
Property managers, HOAs and commercial accounts set to Monthly work differently on purpose. Instead of a charge after every visit, they get ONE statement each month covering every address, with each line labeled with its address. Their accounts payable process expects a monthly bill, not a stream of small charges, and the monthly setting gives them exactly that.
Telling Customers How Auto-Charge Works
Auto-charge only feels good to customers when they know it is coming. A few simple practices:
- When a customer saves a card, tell them when it will be charged: “Only when the job is done.”
- Use the night-before reminder and the on-the-way text so the visit itself is never a surprise.
- Make sure every invoice is visible in the customer app with clear lines and tax.
- For tune-up plans, mention the charge in the plan sign-up so it is part of what they agreed to.
When customers know what to expect, auto-charge reads as convenience rather than surprise.
Keeping an Eye on It
Auto-charge does not mean ignoring billing. Cards still get declined, and some jobs need a line adjusted. The office should look at what charged, what did not and what is still open. Declined cards can be updated by the customer in the customer app, and anything left unpaid gets past-due follow-up by text and email.
Billing That Runs Itself
Auto-charge is the step that turns invoicing from a chore into something that just happens. Set it to run on completion or on a schedule, get cards on file, and most invoices take care of themselves. For the full billing picture, visit the GarageDoorBossPro garage door invoicing software page.
