From Approved Estimate to Scheduled Job: What Happens After the Customer Says Yes

In a lot of garage door shops, the approved quote is where the paperwork starts over. Someone retypes the quote into a work order, someone else writes the door size on a sticky note for the tech, and the invoice gets built from memory at the end. Every copy is a chance to get something wrong. In GarageDoorBossPro, the approved estimate simply becomes the job.

After the Yes

The approval itself is covered in Online Approval: Letting Homeowners Say Yes to a Garage Door Quote Without a Phone Call. This guide follows the estimate from that moment to the paid invoice.

Step One: The Estimate Becomes the Job

When the customer approves, the estimate becomes the scheduled job. It carries:

Nobody retypes anything. What the customer approved is exactly what is on the job.

Step Two: Onto the Dispatch Board

The office puts the job on a day and a van on the dispatch board, also called the Scheduled List. The board shows jobs by day, can be filtered by van, and supports auto-routing Closest First or Furthest First from the shop, plus setting the route order by hand. Saved views and printable route sheets are there for the morning meeting.

A common setup for a few-van company: one van on repairs and emergency spring calls, one on installs and tune-ups. An approved new door or opener install goes to the install van's day. An approved spring and roller repair goes to the repair van, often as soon as possible.

Step Three: Onto the Tech's Phone

On the scheduled day, the job shows up in the tech app in route order. The job card has navigation, the equipment details and access notes, and past notes for the house. A tech on an install day might see “Garage Door · 16x7 · Insulated Steel · Bay 1” and know exactly what to load.

The customer gets automatic “on the way” and “arrived” texts, based on the alert preferences they chose: night before, when they are next, and when the tech arrives. In the customer app, they can see the live route map: “You're stop 12 of 20 — the tech is 5 stops away.”

Step Four: The Work Gets Done

The tech taps Start, does the work, takes before-and-after photos and, if it is part of the visit, fills in the door safety inspection checklist. If they find something different from the quote, such as a serial number or a different opener model, they update it on the job and the change flows back to the house.

If they find extra work, it gets noted on the job for a follow-up estimate, priced from the same service list. That path is covered in Extra Work Found on a Call: From the Tech's Note to an Office Estimate.

Step Five: Complete, Invoice, Paid

When the tech taps Complete, the invoice is created from the job's line items with sales tax. If the customer has a card on file, it can be charged at completion. Otherwise, the customer can pay online from the customer app, and past-due follow-up handles the stragglers.

Because the invoice came from the job, and the job came from the approved estimate, all three match. The customer sees on the bill exactly what they said yes to.

Step Six: The House Remembers

After the job, the house record is up to date. A new opener is saved with its HP, drive and year installed. A new door is saved with its size, material and year. Springs replaced as a pair are noted. The next quote for this house, whether next month or years from now, starts from accurate details.

If the customer signed up for a yearly tune-up plan along the way, the next visit will come due on its own based on the plan's minimum days between visits, and show up on the Waiting List map when it is due.

One Record, No Retyping

The value of an estimate that becomes the job is simple: one record from the first quote to the paid invoice. Fewer copies, fewer mistakes, and a tech who installs what the customer approved. Not every customer says yes on the first send, though, which is where follow-up emails come in next.
