Deposits on New Garage Door Installs: Billing the Deposit as Its Own Invoice or Line Item

A new garage door is the biggest ticket most garage door companies sell to homeowners. It is often ordered to size, in a specific style and color, and it can take a while to arrive. Before placing that order, many owners want a deposit. That is a sensible business habit, and it needs a clean way to show up in billing so the deposit and the balance add up to exactly what the customer approved.

No Deposit Feature, and Why That Is Fine

Opener installs, covered in Invoicing an Opener Install: Opener, Labor, Haul-Away and Extras on One Clear Invoice, are usually billed in one go. New doors are often billed in two steps.

To be clear up front: GarageDoorBossPro does not have a separate deposit feature. What it does have is invoices with line items, card on file and online payment. Garage door companies use those to handle deposits in a straightforward way, by billing the deposit as its own invoice or as a line item, then invoicing the balance when the install is done.

The Two-Invoice Approach

The most common setup looks like this:

Two invoices, both with clear lines, adding up to the approved estimate.

The Line-Item Approach

Some owners prefer to keep a single job and handle the deposit as a line. The deposit is billed when the customer approves, and when the install is done, the final invoice shows the full work with a line crediting the deposit already paid. This keeps everything on one job record, which some offices find easier to follow.

Either way, the principle is the same: the deposit is a visible line, never a mystery number, and the totals tie back to the estimate the customer approved.

Writing the Deposit Line Clearly

Deposit lines should say what they are for. “Deposit” on its own is vague. “Deposit — new 16x7 insulated steel door, ordered to size” tells the customer exactly what they are paying toward. On the balance invoice, “Less deposit paid” makes the math obvious.

Tell the customer about the deposit when the estimate is presented, not after approval. A short sentence on the estimate or in the follow-up email is enough: “A deposit is due on approval so we can order your door. The balance is due when the install is complete.” Your deposit amount and terms are your decision; write them down once and use them every time.

Install Day

On install day, the tech's phone shows the job with the equipment details from the estimate: the door size, material, style and bay. After the install, the tech takes after photos and taps Complete. The balance invoice is created, and the card on file can be charged for it on the spot, or the customer can pay online in the customer app.

The house record updates too. The new door is saved on the house with brand, model, size, material and year installed. When that customer calls for a tune-up years later, the tech knows exactly what was put in.

Deposits for Commercial Work

Commercial door replacements, such as a rolling door on a warehouse or a sectional door at a shop, can follow the same pattern. Bill the deposit as its own invoice or line item at approval and the balance at completion. For commercial accounts set to Monthly, the work can roll into the monthly statement, labeled with the address. More on that in Billing Commercial Garage Door Accounts: Rolling Doors, Docks and Maintenance Visits.

Simple Tools, Clean Deposits

You do not need a special deposit module to take deposits well. You need clear lines, a card on file or online payment, and totals that tie back to the approved estimate. For the rest of the billing system, visit the garage door invoicing software page.
