Moving Off the Paper Invoice Book: Garage Door Billing Without the End-of-Day Pile
Plenty of garage door companies still run on carbon-copy invoice books, a clipboard on the dash and a pile of tickets on the kitchen table every night. It works, in the sense that most invoices eventually get sent. But it is slow, it loses money to forgotten lines and illegible handwriting, and it eats the owner's evenings. Moving off paper is less work than most owners expect, and it pays back quickly.
What Paper Billing Really Costs
Billing duties are covered in Who Handles Billing: Office Roles and Daily Billing Habits in a Small Garage Door Company. Paper makes those duties harder for everyone involved.
The costs of paper are easy to miss because they are spread out:
- Lines that never make it from the ticket to the invoice, like the extra remote or the after-hours charge.
- Prices that drift because each tech writes what they remember.
- Tax added wrong or forgotten.
- Invoices sent days late, and paid days after that.
- Tickets lost in the van, coffee-stained or unreadable.
- Card numbers written on the back of tickets, which is a risk to everyone.
Step One: Your Customers
Moving to GarageDoorBossPro starts with your customer list. If it lives in a spreadsheet or another system, a CSV import brings it in, and imported addresses are placed on the map automatically. One client can have many addresses, which matters for property managers and HOAs.
You do not need perfect records on day one. Equipment details on each house, like the door size, opener model and spring type, can be filled in as techs visit. Every job adds to the record.
Step Two: Your Service List
Next, set up your services with your prices: service call, torsion and extension spring replacement, cables, rollers, off-track repair, opener repair and install, new door install, panel replacement, sensors, keypads and remotes, weatherstripping, tune-ups, commercial door repair and after-hours emergency. Decide whether to show parts and labor separately or bundled. Set your sales tax.
This list is what replaces the price sheet taped to the dash. Once it is set up, every estimate, job and invoice uses the same names and prices.
Step Three: Invoices From Jobs
With customers and services in place, the paper ticket is replaced by the job. The office books the job with its lines. The tech sees it on their phone in the tech app, running in the browser on iPhone or Android with no app store, logged in with the company login and their own PIN. When the work is done, the tech taps Complete, and the invoice is created from the job with sales tax added.
There is no ticket to transcribe. The end-of-day pile simply does not exist.
Step Four: Cards on File
The final step is getting paid without paper either. Ask customers to save a card through your website sign-up form or the customer app. With a card on file, the card can be charged when the tech taps Complete. Customers without a card can pay online in the customer app, and past-due follow-up goes out by text and email for anything left open. This is covered in Card on File for Garage Door Customers: How It Gets Saved and When It Gets Charged.
Making the Switch With Your Techs
Techs used to paper may be skeptical. The good news is that the tech app asks very little: the day's calls in route order, a navigation button, the equipment and access notes on each card, Start, Skip and Complete, and photos. Most techs pick it up after a day or two of riding along. Many end up preferring it because they no longer get calls from the office asking what they wrote on a ticket.
One tip: switch everyone at once on a set date rather than running paper and software side by side. Two systems at once is where invoices fall through the cracks.
Try It Before You Switch
The live demo is a fully stocked sample garage door company you can click around with no signup. It is a good way to see how jobs turn into invoices before moving your own customers in. Every plan also starts with a 14-day free trial with no credit card.
No More Kitchen Table Billing
Paper billing feels free, but it costs money in forgotten lines and time in late nights. Moving to invoices built from jobs and paid at completion fixes both. For the rest of the billing system, visit the garage door invoicing software page.
Retire the Invoice Book
GarageDoorBossPro builds invoices from jobs and charges the card on file at completion, so the end-of-day pile disappears.
