Auto-Charging Garage Door Tune-Up Plans on Completion or on a Schedule

A tune-up plan that has to be invoiced and chased every year is half a plan. The visit gets done, the invoice goes out, and then someone in the office spends weeks reminding customers to pay a modest bill. Auto-charging the card on file ends that. The customer already agreed to the plan. The charge just happens.

The Card Is Already There

Customers who sign up through your website put a card on file on the form, as covered in From the Website Sign-Up Form to a Tune-Up Plan Client in One Click. Customers who sign up in the customer app or with the tech after a repair have a card on file too. That card is what makes auto-charge possible.

GarageDoorBossPro can auto-charge the card on file in two ways: on completion, or on a schedule. Pick the one that fits how you sell the plan.

Charge on Completion

With charge on completion, the card is charged when the tech taps Complete on the tune-up. The invoice is created with the plan's line item and sales tax, the card on file is charged, and the job is done and paid in one step.

This is the most natural fit for a yearly tune-up. The customer pays when they get the visit, which is easy to explain: “We charge your card when the tune-up is done.” If the visit slips by a week, so does the charge. The customer never pays for a visit that has not happened.

It also pairs well with any extra work done on the spot. If the tech replaces a roller during the tune-up with the customer's okay, the office can add it to the same invoice so the customer sees one charge for the day.

Charge on a Schedule

With a scheduled charge, the card is charged on a schedule you set rather than at the visit. Some companies prefer this for plans sold as a membership, where the customer pays on a set date and the visit follows when it comes due.

A scheduled charge needs clear communication. Tell the customer when they will be charged and what it covers. A reminder text or email before the charge goes through keeps it from being a surprise and heads off disputes.

Either way, the price on the charge is the one set on the plan service, so the office never has to type an amount.

Invoices Still Matter

Auto-charge does not skip the invoice. Every charge comes with an invoice that has the line items and sales tax, and customers can see their invoices in the customer app. That gives the customer a record of what they paid for, and it gives you clean books.

For customers who would rather pay by hand, online payment from the customer app works too. They get the invoice, tap to pay, and the office sees it come in.

If you work outside the US, GarageDoorBossPro bills customers in their own currency in Canada, Australia, New Zealand and the UK, so the plan charge reads the way your customers expect.

When a Charge Fails

Cards expire and get replaced. When a charge does not go through, the invoice is unpaid and past-due follow-up takes over. Customers can update their card in the customer app themselves, which is usually the quickest fix.

A short personal text from the office helps too: “Hi, the card we have on file for your tune-up didn't go through. You can update it in the app, or reply and we'll help.” Most failed charges are just an expired card, not an unhappy customer.

Keep an eye on past-due invoices from plan customers each week. A failed charge left alone for months turns into an awkward conversation at next year's visit.

Why Auto-Charge Helps Renewals

The real benefit of auto-charge is not just faster payment. It is that the plan keeps going without anyone having to decide to keep it going. The visit comes due, the reminder goes out, the tech does the inspection, the card is charged, and the next year starts counting.

Compare that with a plan that needs a new invoice paid by hand every year. Each invoice is a moment for the customer to wonder whether they still want the plan. Auto-charge, backed by a printed report they can see, removes that moment. Renewals are covered in more depth in Garage Door Plan Renewals: Keeping Yearly Customers Coming Back.

The next guide covers the reminder texts and emails that make sure the customer knows the visit and the charge are coming. For billing alongside the rest of the tune-up program, see the garage door maintenance software page.
